ORGANIZE FOR CONTROL 

     Once we got involved in a lot of on-line auctions, we were quickly overwhelmed - surrounded by note pads and auction items, and faced with notifying buyers and sellers, tracking payments, and shipping items. After hundreds of auctions, we now have our system down to where we are finally in total control. We sincerely hope the following information will help you stay organized and help you get the whole process, from selling to shipping, done efficiently. 
Important: Your record keeping should begin at the start of the auction, not when payment is received and you are ready to ship. 
 
RECORDING THE AUCTIONS 

     No matter whether we enter as a buyer or seller, we list every auction in our logs immediately. [Check our sample logs here: Sellers or Buyers. Print them out for your own use if you like. (Printer settings: 8½ x 14, Landscape.)] We enter as much information as is available right away and more when the auction ends. You will see how helpful this is when it comes time to notify the bidders and/or sellers. It makes the process quick and easy and the buyers and sellers appreciate fast responses. Plus, the quicker you can get everyone notified, the quicker you get your payments if selling or your items if buying. 

RECORD KEEPING FORMS 

     Many people rely only on the "Closed Auction Buyer/Seller Lists" to make their notes and keep their records. You can obtain these listings (through eBay search for example) by entering your e-mail address (as a seller for one list or as a buyer for that list.) We use these lists ourselves at times, but even though they are pretty good for double checking, they fall short of providing enough information to really control and keep track of your activities. We designed a control sheet that gives us the information and control that we need. It requires a little more information to be entered, but we find the additional control to be well worth the effort. [As we mentioned earlier, you can check our sample logs here: Sellers or Buyers. And again, print them out for your own use if you like. (Printer settings: 8½ x 14, Landscape.)]  You'll see we have included just about everything you need. Please feel free to print and use these forms to control your own activities. They are designed for use on a standard clipboard. (Yes, we hand write our control sheets. You could use a spreadsheet or database program to keep track of these records, but we take our clipboards to the living room, the bedroom, the kitchen, the office, even out shopping sometimes. And I'm just not into laptops. Plus, it's my little bit of security when cyberspace chooses to shut me out every once in a while.)
